Varloch Design respects your privacy and is committed to protecting the personal information you provide through our website.
This policy explains what we collect, why we collect it, how it is stored, and what rights you have over it. It describes what this website actually does today — not a generic list of things a website might do.
Information we collect
When you submit an enquiry or use one of our online tools, we collect only what that form asks for:
- First and last name
- Email address
- Phone number
- Project type, rough timeframe and indicative budget, where the form asks
- Any message or project detail you choose to write
- The property address you enter into the Property Planning Report, and the answers you give the Build Cost Calculator
Our web host also keeps standard server logs, which include your IP address, the pages requested and the time of the request. These are a normal part of operating a website securely.
Why we collect it
- To respond to your enquiry and discuss your project
- To prepare fee proposals and arrange meetings or consultations
- To provide our residential design services
- To generate the report or estimate you asked for
- To improve our website and our services
- To send occasional updates about the practice — only if you have specifically ticked the box asking for them
Marketing communications
Marketing is strictly opt-in. Every enquiry form includes an unticked checkbox, and leaving it unticked has no effect on your enquiry — you will still get a reply. We record your answer against your enquiry.
If you do opt in, we may occasionally write to you about our journal, new projects, practice updates and design ideas. Every such email will include an unsubscribe link, and you can also unsubscribe at any time by emailing us at [email protected].
How your enquiry is stored
Enquiries are stored in our own database and are visible only through the password-protected Varloch Design administration area. Access is restricted to authorised members of the practice.
We use this to follow up your enquiry and to keep track of our conversation about your project. We do not sell, rent or trade personal information to anyone, for any purpose.
Cookies and analytics
This website does not use analytics services, advertising trackers or third-party tracking cookies. We do not build a profile of your browsing.
The only cookies this site sets are sign-in cookies for the staff administration area. If you are a visitor rather than a member of the practice, no cookie is set for you.
Third-party services we rely on
Running this website means some information passes through trusted providers. Each handles it under its own privacy policy:
- Vercel— website hosting and server logs
- Supabase— database and file storage for enquiries, project content and images
- Mux— processing and delivery of the videos shown on this site
- Resend— delivery of emails sent from the site
- Google Maps Platform— address lookup and the map image in the Property Planning Report
- NSW Government planning data services— queried for the planning information shown in the Property Planning Report
We may also share information where it is genuinely necessary to deliver your project — for example with consultants engaged on it — or where we are required to by law.
Data security
We take reasonable steps to protect personal information from unauthorised access, misuse, loss, disclosure, alteration and destruction. Enquiry data is protected at the database level so that it can only be read by an authenticated member of the practice, and the administration area is excluded from search engines.
No online system can guarantee absolute security, and we do not claim otherwise.
Your rights
You may ask us to:
- Tell you what personal information we hold about you
- Correct anything that is wrong
- Delete your information
- Stop sending you marketing communications
Email [email protected] and we will action it. There is no charge for making a request.
Australian privacy law
We aim to handle personal information in accordance with the Australian Privacy Principles contained in the Privacy Act 1988 (Cth), where applicable, and to handle marketing consent in accordance with the Spam Act 2003 (Cth).
